How to configure inbound sequences

Set up automated responses for leads arriving from external sources.

Inbound sequences define how DealerAI responds when new leads arrive from external sources — dealer websites, AutoTrader, Cars.com, and other ADF-compatible providers. Each provider can be mapped to a specific response sequence.

Configure an inbound sequence

Go to Reach from the sidebar.
Select the Inbound Sequences tab.
Click Add Sequence to create a new inbound rule.
Select the Provider — the source of the incoming lead (e.g., AutoTrader, Cars.com, Website).
Choose the Channel — how the system should respond (SMS, Email, or both).
Configure the Response Timing — how quickly the first message goes out.
Click Save.

How inbound sequences work

  1. A lead arrives via ADF/XML (email) or web form submission.
  2. The system identifies the source provider from the ADF data.
  3. The matching inbound sequence is triggered.
  4. The AI sends the first response via the configured channel.
  5. If the customer replies, a live conversation begins and the AI continues naturally.

Map multiple providers

Different lead sources may need different response strategies:

Leads without a matching provider rule use the default inbound sequence. Make sure you have a default configured to catch leads from new or unexpected sources.

Tips

  • Speed is critical — leads contacted within 5 minutes are far more likely to convert.
  • Match the response channel to where the customer originally engaged when possible.
  • Review unmatched leads periodically and add provider rules for any recurring sources.
  • Coordinate with Follow-Up sequences for what happens after the initial inbound response.
